Forums, summits & government-led events

Coffee carts and barista bars for UAE forums, summits and government-led events

Forums, summits and government-led events run on hospitality that is easy to underestimate: delegations arriving early, sponsor lounges that need to stay busy, VIP and majlis areas, and side events at hotels and offices. A ROAST barista bar with a karak and gahwa station can cover that from one operator, with published prices and a written technical pack. This page is plain about the part that matters most: the venue decides whether an outside operator may serve, and we help you ask the organiser rather than promise an answer. Enquiries are welcome from anywhere in the UAE and are quoted per event. We reply within one working day (Monday to Friday).

Quick answers

Can ROAST serve at a government forum or summit?
Where the organiser and the venue approve outside service in writing, yes. Many of these events have controlled access, so hospitality is often arranged around the programme rather than on the floor.
Who approves an outside coffee cart?
The organiser and the venue. DWTC is the exclusive food and beverage supplier in its halls and ADNEC runs in-house catering, so we help you ask and never promise approval.
What does a cart cost?
From AED 3,000 half-day and AED 4,500 full-day, ex 5% VAT. Events outside Dubai are quoted per event, with travel, crew and set-up as their own lines.

Where a cart fits at forums, summits and government-led events

Access to many of these events is controlled, so the useful question is where hospitality is allowed and who is hosting it. Five places a cart commonly fits:

  • ✦Sponsor lounges: a barista bar that keeps a partner lounge busy through the day, where the organiser and venue approve outside service
  • ✦VIP and majlis areas: gahwa and karak served the way a Gulf host would, with dates
  • ✦Delegation hospitality: a dedicated server and a branded cart for visiting teams
  • ✦Side events at hotels and offices: receptions, roundtables and launches around the main programme
  • ✦Pre-event breakfasts: espresso and a karak station before the first session

For majlis-style service see our Arabic coffee and gahwa service; for entity-specific needs see coffee for government and public sector.

The venue decides: what we know and what we ask

Rules differ by venue. This is what we know, taken from the venues' exhibitor manuals, and where we can only tell you to check.

  • ✦DWTC (Dubai World Trade Centre): the exclusive food and beverage supplier in its halls. Outside catering on a stand needs the venue's written approval through its catering disclaimer process, typically about a month before build-up, plus Dubai Municipality compliance. This is the position in the venue's exhibitor manuals.
  • ✦ADNEC (Abu Dhabi): in-house catering, and stand catering is an ADNEC service. Whether an outside operator may serve is for ADNEC and the organiser to confirm, per the venue's exhibitor manual.
  • ✦Expo City Dubai / Dubai Exhibition Centre: we have not seen a published outside-caterer policy, so rules are confirmed per event, per the venue's exhibitor manual.
  • ✦Hotels, ADGM and other host venues: each sets its own catering and contractor rules, so we confirm access with you, and with the venue where needed, before we quote.

We help you ask the organiser, we read the exhibitor manual with you, and we tell you the answer before you pay a deposit. We cannot promise approval, and no page here should be read as saying a cart will be allowed at any particular event.

Published prices and add-ons

Published prices only, ex 5% VAT. Events outside Dubai are quoted per event: travel, crew and set-up appear as their own lines before you agree. Enquiries are welcome from anywhere in the UAE.

A 50% deposit confirms your dates. We take it only once your service route is confirmed, and it is refunded in full if approval is later declined. Common questions

Can ROAST serve inside a government-led event?

Only where the organiser and the venue approve it in writing. Many are closed or invitation-only, so we work around the programme as well: sponsor lounges, delegation majlis areas, hotels and offices.

Why doesn't this page promise a cart at DWTC?

Because DWTC is the exclusive food and beverage supplier in its halls and an outside operator needs written approval. We help you ask and cannot promise it.

What are your prices?

Published day rates ex 5% VAT: from AED 3,000 half-day, AED 4,500 full-day, and AED 5,900 full-day with a karak and gahwa station and Cha Cha Chai street food. Add-ons: extra hour AED 400, relief barista AED 600/day, karak station from AED 900/day, branded cups from AED 750.

Do you serve events in Abu Dhabi and other emirates?

Enquiries are welcome from anywhere in the UAE and are quoted per event. We are Dubai-based and travel; the quote shows travel, crew and set-up as their own lines.

How early should we enquire?

Notice starts at 5 working days for private and corporate events and runs to 2 to 3 months for major exhibitions, because badges, power orders and venue approvals take time.

Are you registered on government supplier portals?

We make no claim of any listing. Where an entity requires suppliers to register on its procurement platform, ask the entity which platform and documents apply; see our government and public sector page for the procurement pack we can send.

Which dates on your table are confirmed?

Those marked confirmed by the organiser: Big 5 Global, GITEX Global, Abu Dhabi Finance Week, IDEX and NAVDEX, WHX Dubai and the World Governments Summit. Gulfood, Arabian Travel Market and Dubai Airshow are expected; confirm them with the organiser.
