Coffee cart venue requirements checklist for Dubai
Before a ROAST coffee cart arrives, a Dubai venue needs to confirm power, water, space, access, setup timing and any venue approval. ROAST publishes the booking terms: delivery, setup and teardown in Dubai are included, a 50% deposit confirms the date, and notice starts at 5 working days. It does not publish a power, water or footprint figure on its cart pages, so those are confirmed on your quote. Use the printable list below.

Terms as published on this site on 13 October 2026. Prices ex 5% VAT.
The short version
- Included: delivery, setup and teardown in Dubai, with the cart price from AED 3,000 (half day) or AED 4,500 (full day).
- Confirmed on your quote: power, water, space, access and setup timings. No figures are published for these.
- Deposit and notice: 50% deposit confirms the date; from 5 working days' notice, 2 to 3 months for major exhibitions.
- Shows and halls: outside food and beverage needs organiser or venue approval first.
What ROAST publishes, and what the quote confirms
Where ROAST has not published a figure, the table says so rather than guessing.
| What to confirm | What ROAST publishes | Where it is confirmed |
|---|---|---|
| Power | No figure on the cart pages. For stands: exact power requirement, including 24-hour supply for overnight refrigeration | Your quote; the technical pack for stands |
| Water and waste | No figure. For stands: water arrangement and waste handling, in writing | Your quote; the technical pack for stands |
| Space and storage | No footprint figure. For stands: cart footprint and clearance, and back-of-stand storage | Your quote; tell us your stand size |
| Indoors or outdoors | Sets up indoors or outdoors: hotel ballrooms, lobbies, DWTC and Expo City stands, outdoor venues | Your venue |
| Access and setup window | Arrives within your build-up or early-access window; no setup duration published | Timings confirmed in writing on your quote |
| Setup and teardown | Included with every cart package in Dubai; last-day teardown within the hall's marshalling window for shows | Included in the price |
| Venue approval and fees | Outside food and beverage on a stand needs organiser or venue approval; venue or organiser fees are itemised separately | Your quote |
| Date, deposit and notice | 50% deposit confirms the date; from 5 working days' notice (2 to 3 months for major exhibitions) | Your quote |
Power, water and space
For exhibition stands, every quote comes with a written technical pack before you pay anything: the exact power requirement (including whether you need 24-hour supply for overnight refrigeration, which is a separate line on venue order forms), cart footprint and clearance, back-of-stand storage, water arrangement, waste handling and setup timings. It is written so you can forward it to your stand contractor before design freeze and the venue's power-order deadline. For any other venue, send the address, date, hours and headcount; the cart pages publish no figures, so the setup is confirmed on your quote.
Access, setup and teardown
The crew arrives within the build-up or early-access window your venue allows, and setup timings are confirmed in writing for your run-sheet. Delivery, setup and teardown within Dubai are included in the cart price, with no separate service charge. At shows, last-day teardown follows the hall's marshalling window, and ROAST completes the contractor and personnel badge forms with you. Building access and loading for a regular venue are not published; they are confirmed on your quote.
Deposit (عربون), notice and approvals
For coffee carts and live stations, a 50% deposit confirms your date; purchase orders are accepted. Notice starts at 5 working days for private and corporate events and rises to 2 to 3 months for major exhibitions, because badges, power orders and venue approvals take time. At DWTC and Expo City, outside food and beverage on a stand generally needs organiser or venue approval through the exhibitor manual. The deposit is taken only once that route is confirmed and is refunded in full if the venue later declines. Venue or organiser fees are itemised separately on the quote, and the invoice is a VAT tax invoice with TRN.
