Delegates judge a conference by its breaks: whether the coffee is good and whether the queue moves. Yes. A standalone live karak and gahwa station is from AED 900 a day, a self-serve majlis station from AED 45 a person for 30 or more, or take the Coffee + Karak Experience from AED 5,900.

As a guide only, a half-day cart at AED 3,000 works out at about AED 30 per guest at 100 guests, and a full-day cart at AED 4,500 at about AED 22.50 per guest at 200 guests. Carts are priced per package, not per guest.

Worked example: a one-day conference with a speaker lounge

An organiser runs a one-day conference for about 200 delegates in a hotel ballroom, with a bar in the foyer, a gahwa station for the speaker lounge and branded cups. Using published rates only:

The Coffee + Karak Experience at AED 5,900 is the alternative if you also want Cha Cha Chai street food; the Signature Bar plus the station (AED 5,400) does not include it. This illustrates arithmetic from published rates, not a quote.

Organiser checklist

Work through these before you ask for a quote; the answers go on it in writing. Check them with the venue as well, because rules differ from venue to venue.

  1. Venue approval: ask the venue’s events team whether outside suppliers are allowed, what paperwork they need and whether any fees apply. That decision is the venue’s, and we cannot assume it.
  2. Power and position: where the cart or station can stand, and the outlets nearby. We do not publish a footprint or power figure on this site; the quote confirms what the setup needs.
  3. Load-in timing: the delivery route, the loading bay or service lift, crew access, and the set-up and pack-down windows. Times are agreed on the quote.
  4. Guest count by session: list each break with its expected headcount and length, rather than one registration total, so the right package is chosen for each.
  5. Drinks and dietary needs: milk alternatives, decaf requests and allergies flagged ahead of the day.
  6. Branding: whether you want custom cups or signage (an add-on from AED 750) and the artwork deadline.
  7. Billing: the invoice name, any PO number, and the 50% deposit that confirms a cart or live station.

Carts and live stations need from five working days’ notice. If the conference includes an exhibition floor, see exhibition and trade show coffee, where major shows need longer lead times.

Do we need venue approval before booking?

How do I size the bar for a conference?

Size it by session, not by registrations. A half-day cart is built for about 100 guests and a full-day Signature Bar for about 200. For larger crowds or several rooms, send us the session plan and we advise on the quote.

What does the Coffee + Karak Experience include?

Everything in the Signature Bar, a live Cha Cha Chai karak and gahwa station with a dedicated server, and Cha Cha Chai street food (vada pav, samosa pav and momos). Quantities are confirmed on your quote.

Do you issue VAT invoices and accept purchase orders?

Yes. Every order carries a VAT tax invoice with TRN, and purchase orders are accepted.

Do you serve conferences outside Dubai?

Outside Dubai? Dubai is our home, but enquiries from Abu Dhabi, Sharjah and the rest of the UAE are welcome. Tell us the address, date and headcount and we confirm what we can do, with travel, crew and logistics shown on your written quote.
